Privacy Statement

1. About this statement

This Privacy Statement explains how Water Software Solutions Ltd, trading as Watercalcs (we, us, our), collects, uses, discloses, and protects personal information, in accordance with the Privacy Act 2020. By using the Service you agree to this statement.

2. Information we collect

We may collect:

  • contact and account information you give us, such as your name and email address, when you create a Premium account or join our waitlist;
  • payment information, which is collected and processed by our payment provider, Stripe — we do not store your full card details; and
  • technical and usage information collected automatically when you use the site, such as device and browser information, IP address, and the pages or tools used, including through cookies and similar technologies.

You do not need to provide personal information to use the free calculators.

Team accounts. Where an organisation holds a team subscription, we also collect and hold, for each person given access: their email address, their role on the account (administrator or member), the date they were added, who added them, and the date they last used the Service. Some of this information is provided to us by the organisation’s administrator rather than by the person themselves.

Invoiced organisations. Where an organisation asks to pay by invoice, we collect the organisation’s name, billing address, accounts payable email address, and where supplied its purchase order number and GST number. Most of this is information about the organisation, but the accounts payable address identifies a person or a role within it.

We do not collect or store the contents of your calculations. The calculators hold your working data in your own browser, and any file you export stays with you.

3. How and why we use your information

We use personal information to:

  • provide and operate the Service;
  • create and manage accounts and subscriptions;
  • process payments;
  • respond to enquiries and send service or waitlist communications;
  • improve and secure the Service; and
  • meet our legal obligations.

Where an organisation holds a team subscription, we use the information described above to give the right people access, to show the organisation’s administrator who currently holds a seat, and to bill the organisation correctly.

We will only use it for the purposes for which it was collected, related purposes you would reasonably expect, or as otherwise permitted by law.

4. Disclosure

We may disclose personal information to third-party providers who help us run the Service — for example, hosting, authentication, database, payment, analytics, and email providers. Some of these providers, and the servers on which information is stored, are located outside New Zealand (including in the United States). Where we disclose information overseas, we take reasonable steps to ensure comparable safeguards consistent with the Privacy Act 2020. We do not sell your personal information.

5. Team accounts — what your organisation can see

If your access to Premium comes through your employer or another organisation’s team subscription, that organisation’s administrators can see the following about you:

  • the email address your access is linked to;
  • your role on the account (administrator or member);
  • the date you were added, and who added you; and
  • the date you last used the Service.

Administrators cannot see the content of your calculations, the inputs you enter, your results, or anything you have saved or exported.

An administrator can remove your access at any time. If they do, we keep a record that you previously had access so that the organisation can restore it if it chooses. We do not keep your calculations as part of that record. If you would like that record deleted, you or your organisation can ask us using the contact details below.

If you would rather your use of the Service not be visible to your organisation, you can subscribe individually instead, using an email address that is not part of a team account.

6. Storage and security

We take reasonable steps to protect personal information from loss, misuse, and unauthorised access, including by using reputable service providers. No system is completely secure, and we cannot guarantee absolute security.

7. Cookies and analytics

We use cookies and similar technologies to operate the site, keep you signed in, remember preferences, and understand how the site is used.

Essential cookies are set by our authentication provider so that you can sign in and stay signed in. The site will not work properly without them.

Analytics. We use Google Analytics 4 and Vercel Analytics to understand which pages and tools are used, how visitors reach the site, and where problems occur. These collect information such as pages viewed, approximate location derived from IP address, device and browser type, and which calculators are opened. Google Analytics sets cookies and processes this information on Google’s servers, which are located outside New Zealand.

We use analytics to improve the Service, not to build profiles of individuals, and we do not sell this information.

You can control cookies through your browser settings, and you can opt out of Google Analytics across all sites using Google’s browser add-on at tools.google.com/dlpage/gaoptout. Disabling cookies may affect how parts of the site work.

8. Accessing and correcting your information

Under the Privacy Act 2020 you have the right to ask for access to the personal information we hold about you and to request corrections. To make a request, contact us using the details below. We may need to verify your identity before responding.

9. Retention

We keep personal information only for as long as needed for the purposes described, or as required by law, after which we will delete or de-identify it.

For team accounts, we keep the record of who has or has had access for as long as the organisation holds a subscription, and after it ends, so that access can be restored if the organisation subscribes again. An organisation, or an individual whose access has been removed, may ask us to delete that record at any time.

We keep billing records, including invoices, for as long as required by New Zealand tax and company law.

If you have a concern about how we have handled your personal information, please contact us first. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner (www.privacy.org.nz).

11. Changes

We may update this statement from time to time. The current version will be posted on this page with its effective date.
